Booking Terms & Conditions

Before making a booking with us, we recommend that you carefully read and understand these Terms and Conditions. It is your responsibility to review all important details relating to your travel arrangements, including your itinerary, travel requirements, services included, and any applicable restrictions or conditions. Please ensure that you are satisfied with all aspects of your booking before confirming your purchase. By completing a booking with us, you confirm that you have read, understood, and agreed to these Terms and Conditions.

Acceptance of Booking Terms

By making a booking with Tripco Travels through our website, email, telephone, online communication, or any other method, you confirm that you have read, understood, and agreed to these Booking Terms and Conditions, which form the agreement between you and Tripco Travels. Your booking will be accepted on this basis, and the services provided will be as detailed in your booking confirmation. It is your responsibility to carefully check all booking details and notify us immediately of any errors or omissions. Any costs arising from incorrect information or failure to report inaccuracies promptly will be your responsibility. Where services are provided by third-party suppliers, those services will be subject to the supplier's own terms and conditions, which will apply in addition to these terms.

Flight Ticket Validity & Usage

All services booked with Tripco Travels are valid only for the dates and arrangements specified in your booking confirmation. Flight tickets are valid exclusively for travel on the airline(s) and routes for which they were originally issued. Any transfer of bookings to another airline, changes to the approved itinerary, or addition of stopovers are subject to airline rules and may not be permitted. Passengers must use their flight tickets in the sequence and order in which they were booked. Failure to travel on any part of the itinerary may result in the cancellation of remaining flights or additional charges being applied by the airline. Any reissued or re-invoiced ticket costs may be higher than the original ticket price.

Booking Deposit & Payment Requirement

To secure your booking with Tripco Travels, a non-refundable deposit may be required at the time of booking. The deposit amount will vary depending on the travel arrangements, supplier requirements, and the terms applicable to your booking. For selected bookings, the minimum deposit may start from £75 per person, while some bookings may require a higher deposit amount depending on the number of passengers, travel dates, or service provider requirements. If your booking is made close to the departure date, full payment may be required at the time of confirmation. Please note that all deposits are non-refundable, including in cases of payment failure, cancellation, or changes to your travel plans.

Booking Confirmation & Final Payment

Once your booking is accepted by Tripco Travels, we will issue a booking confirmation that forms the agreement between you and Tripco Travels. Your booking will be considered confirmed once the required deposit has been received, and details of any outstanding balance and payment deadlines will be provided in your confirmation. The remaining balance must be paid in full by the due date specified in your booking confirmation or before your departure date, whichever applies. Some bookings may require full payment earlier due to airline, supplier, or travel service requirements. If the outstanding balance is not received by the required deadline, or if you decide not to proceed with your travel arrangements, Tripco Travels reserves the right to cancel the booking, and any amounts paid may be non-refundable in accordance with these Terms and Conditions.

Passenger Information & Travel Requirements

To finalise your travel arrangements with Tripco Travels, you must provide all required passenger details along with any outstanding balance due for your booking. This includes your full name exactly as shown on your passport or travel document, date of birth, nationality, passport number, passport issue date, and expiry date. You are also responsible for informing us of any medical conditions, special requirements, or circumstances that may affect your ability to travel. Failure to provide accurate and complete information within the required timeframe may result in delays, booking issues, or the inability to travel. In such circumstances, Tripco Travels cannot be held responsible for any resulting losses, costs, or penalties.

Cancellation & Refund Policy

If you wish to cancel your booking, the lead passenger or the person who made the reservation must notify Tripco Travels in writing. Cancellation charges are subject to the fare rules of the airline or travel supplier and may result in the loss of up to 100% of the total booking value. Customers requiring greater flexibility are advised to book a refundable or changeable fare, where available. Any eligible refund will be processed in accordance with the airline's terms and conditions and will be subject to applicable cancellation charges and Tripco Travels' administration fee. Refunds generally apply only to completely unused tickets unless otherwise permitted by the airline, while partially used tickets are typically non-refundable. Please note that charter flight bookings are non-refundable and are subject to a 100% cancellation charge, both before and after ticket issuance.

Flight Disruption, Cancellation & Schedule Change

In the event that an airline cancels, reschedules, or is unable to operate a flight due to circumstances beyond its control, including but not limited to terrorism, natural disasters, adverse weather, government restrictions, or political instability, Tripco Travels will assist customers in accordance with the airline's policies. Where the airline offers an alternative travel date or itinerary, passengers may choose to accept the offered option or request a different travel date, subject to fare differences, airline charges, and Tripco Travels' applicable administration fee. If the airline authorises a refund and no suitable alternative is available, the refund will be processed in accordance with the airline's refund policy, less any applicable administration fee where permitted. Please note that refund processing times are determined by the airline and may take several months depending on the airline's procedures.

Booking Amendments & Changes

All requests to amend or modify a booking must be submitted to Tripco Travels in writing. Requests cannot be processed until written confirmation has been received. All booking changes are subject to the fare rules and conditions of the airline or travel supplier and may incur additional charges, including any applicable fare difference. Any costs associated with amending flights, hotels, or other travel services will be advised at the time of the request. In addition to any supplier charges, Tripco Travels reserves the right to apply an administration fee of up to £50 per booking for processing amendments.

Pricing & Fare Availability

All prices quoted by Tripco Travels are subject to availability and may change at any time prior to confirmation due to airline pricing, seasonal demand, exchange rate fluctuations, taxes, supplier updates, or other market conditions. As a result, customers travelling on the same itinerary may have paid different fares. Once a quotation has been provided, the quoted price will be held only until the stated expiry time and is secured only upon receipt of the required deposit or full payment, where applicable. Any promotional fares, discounts, or price reductions introduced after your booking has been confirmed will not apply retrospectively. If you choose to cancel an existing booking to take advantage of a lower fare, the booking will be subject to the applicable cancellation terms and charges.

Age & Health Requirements

Some tours, holidays, or travel arrangements may have minimum age requirements. Where applicable, these requirements will be clearly communicated at the time of booking. Travellers under the age of 18 must travel with a parent, legal guardian, or an authorised adult who is at least 18 years old. Where a legal guardian appoints an authorised adult to accompany a traveller under 18, appropriate written authorisation may be required. Tripco Travels is not a medical or healthcare provider and does not provide medical advice. Travellers are responsible for obtaining appropriate medical advice before travelling and for ensuring that they meet all health, vaccination, medical, and other requirements applicable to their destination and itinerary. We strongly recommend that you check the latest health requirements with a qualified medical professional and the relevant official authorities well in advance of your departure.

Passport, Visa & Travel Documentation

It is the traveller's responsibility to ensure that they hold a valid passport and all necessary visas, permits, certificates, and other travel documents required for their journey. Passport validity requirements vary depending on the destination, transit countries, nationality, and type of travel document held. Travellers should ensure that their passport or travel document meets all applicable requirements before booking and travelling. Travellers are responsible for checking and obtaining the correct visa, entry permit, transit visa, or other documentation required for every country included in their itinerary. We recommend checking the latest requirements directly with the relevant embassy, consulate, immigration authority, airline, or official government website. Tripco Travels will provide travel information where appropriate; however, we cannot guarantee that a visa or entry permission will be granted and cannot be held responsible for refused visas, denied boarding, refused entry, delays, additional costs, or other consequences arising from incomplete, inaccurate, expired, or insufficient travel documentation. Travellers should carefully check all travel documents before departure and ensure that all information, including names, dates, passport details, visas, and permits, is accurate and up to date.

Travel Insurance

TripCo Travels strongly recommends that all travellers obtain comprehensive travel insurance before departure. Travel insurance should provide suitable cover for the traveller's individual circumstances and itinerary. Where appropriate, we recommend cover for medical expenses, personal accident, emergency assistance and repatriation, cancellation or curtailment, personal liability, and loss, theft, or damage to baggage and personal belongings. Travellers are responsible for arranging their own travel insurance and should carefully read the policy terms, conditions, exclusions, and limitations before travelling. TripCo Travels cannot be held responsible for losses, expenses, or claims that could have been covered by an appropriate travel insurance policy.

Complaints & Claims

Tripco Travels aims to provide a high standard of service and a positive travel experience. However, if you experience any problem during your booking or trip, you should notify us as soon as reasonably possible. Where an issue occurs during your trip, please contact Tripco Travels or our appointed representative at the earliest opportunity. This will give us a reasonable opportunity to investigate the matter and, where possible, take appropriate steps to resolve it. If you remain dissatisfied after we have had an opportunity to address your complaint, you should submit your complaint to us in writing within 30 days of the completion of your trip. Please provide as much relevant information and supporting documentation as possible to assist us in investigating the matter. TripCo Travels will review complaints fairly and respond within a reasonable timeframe. Failure to notify us of an issue promptly may limit our ability to investigate the matter or take appropriate corrective action.

Refund Processing & Timelines

Where a refund is applicable, refund requests are processed in accordance with the fare conditions, airline policies, and applicable terms of the booking. Please note that refunds may take approximately 8–10 working weeks to process. This timeframe may include the time required for the airline or relevant supplier to review and approve the refund, process it through their accounting system, and release the funds to the original payment method. The actual processing time may vary depending on several factors, including the airline, type and conditions of the ticket, reason for the refund, payment method, and whether the refund requires approval or processing by a third party. Once a refund has been approved and released by the relevant airline or supplier, the time taken for the funds to appear in the original payment account may also depend on the payment provider or financial institution. TripCo Travels will process eligible refund requests in accordance with the applicable booking and fare conditions. We will provide updates where available; however, we cannot guarantee a specific refund date where the processing is dependent on an airline, supplier, payment provider, or other third party. For any questions regarding the status of a refund request, please contact TripCo Travels and we will provide the latest information available to us.

Refund in Case of Passenger Death

In the unfortunate event of the death of a passenger booked on the journey, a full refund will be issued for the deceased passenger only. Any remaining travellers on the same booking will be responsible for any applicable charges relating to their own tickets. A valid UK-issued death certificate in PDF format must be provided to TripCo Travels in order to process the refund. Please note that this refund policy applies only to the death of the passenger who is booked to travel. It does not cover the death of family members, relatives, or friends. A £50.00 administration fee will be deducted from the refund amount. The remaining eligible balance will normally be processed and refunded within 8–10 working weeks.

Use of All Booked Flights

If you have a return or connecting flight booking, all flights on the ticket must be used in the order shown on your itinerary. For example, if your booking is London → Doha → Delhi, you must take the London to Doha flight before travelling on the Doha to Delhi flight. If you do not take the first flight, the airline may cancel the remaining flights on your booking. If you miss any part of your journey, you may need to pay additional charges or a fare difference to make the ticket usable again, depending on the airline's rules. If you are unable to take a booked flight due to an emergency or other reason, please contact TripCo Travels in writing before arranging another flight. We will check whether your existing booking can be changed or amended. If you arrange a separate flight without informing us first and your original ticket is cancelled or becomes unusable, Tripco Travels will not be responsible for any additional costs or losses.

Budget Airline Fares & Check-In

Budget airlines may offer lower basic fares, but additional charges may apply for services such as checked baggage, seat selection, meals, priority boarding, and airport check-in. The total cost can therefore vary depending on the fare type and services you choose. We recommend checking what is included in your selected fare before completing your booking with us. Some budget airlines may also charge a check-in fee at the airport, depending on the fare purchased and the airline's rules. Where online check-in is available, passengers are generally advised to complete online check-in themselves before travelling to avoid any applicable airport check-in charges.

ATOL Financial Protection

TripCo Travels acts as a retail travel agent and may arrange flights and flight-inclusive holidays on behalf of ATOL-protected travel providers. Where your booking is ATOL protected, you will receive an ATOL Certificate confirming the services covered by the ATOL scheme. Please check your ATOL Certificate carefully to ensure that all the flights and travel services you have booked and paid for are listed. ATOL protection does not apply to every travel service or booking. The protection applicable to your booking will be explained to you before or at the time of booking. If you do not receive an ATOL Certificate, your booking should not be assumed to be ATOL protected. Similarly, if a service or part of your trip is not listed on your ATOL Certificate, that service or part of the trip may not be covered by the ATOL scheme. Provision of Service

We, or the travel provider named on your ATOL Certificate, will provide the travel services listed on your certificate or, where necessary, a suitable alternative. If we or the relevant travel provider are unable to provide your booked services because of insolvency, another ATOL-protected travel provider may be appointed to provide the services or a suitable alternative at no additional cost to you. By accepting these terms, you agree that the alternative ATOL holder may take over the responsibility for providing your travel arrangements. You also agree to pay any outstanding amount due under your booking to the alternative ATOL holder. In some circumstances, it may not be possible to arrange an alternative ATOL holder. If this happens, you may be entitled to make a claim under the ATOL protection scheme, or through your credit card provider where applicable.

In the Event of Insolvency

If we or any supplier listed on your ATOL Certificate are unable to provide the services booked, or a suitable alternative, due to insolvency, the Trustees of the Air Travel Trust may provide a payment or other benefit to you under the ATOL scheme. If you receive such payment or benefit, you agree to transfer to the Trustees any claims you may have relating to the services not being provided, including any claim against Tripco Travels, the relevant travel agent, or your credit card provider where applicable. You also agree that these claims may be transferred to another organisation if that organisation has paid you any amount claimed under the ATOL scheme.
